Description

  • Reconcile bank and credit card transactions in Xero and maintain accounting records.
  • Upload receipts and invoices to Hubdoc and support accounts payable and receivable workflows.
  • Monitor overdue accounts receivable, follow up on outstanding payments, and communicate payment updates with vendors or clients.
  • Review and triage Gmail inboxes daily and respond to booking, invoice, and basic inquiry emails.
  • Prepare and send invoice proposals, then follow up weekly on open quotes and proposals.
  • Review Shopify order activity and identify potential leads or trends.
  • Build and update potential client lists, schedule meetings and consultations in Calendly, and track client communication in a shared CRM or project tool.
  • Build project timelines and task lists, follow up with project managers or collaborators, and maintain project documentation in Google Drive.
  • Organize digital files, records, checklists, and SOPs, and place online orders for office or studio supplies as needed.
  • Support occasional Canva design tasks and other administrative duties as assigned.

Requirements

  • Fluent English and Spanish communication skills.
  • Experience with Xero, Hubdoc, Gmail, Google Drive, Google Docs, and Google Sheets.
  • Familiarity with Shopify, Calendly, Canva, CRM, or project management tools.
  • Strong attention to detail and consistent follow-through.
  • Ability to manage accounting, administrative, and client-facing tasks professionally.
  • Comfort working independently and escalating important issues when needed.
  • Strong organizational skills and the ability to prioritize tasks across departments.
  • Availability to work part-time Monday to Friday between 8:30/9:30am and 12:30/1:30pm Pacific Time (GMT -8:00).
