Description

  • Answer inbound patient calls and respond to inquiries about wellness and aesthetic services.
  • Manage appointment scheduling, rescheduling, confirmations, and calendar coordination.
  • Conduct post-procedure follow-up calls and 4-week patient retention calls.
  • Send Google review outreach messages and manage review links.
  • Handle patient messaging and general communication support.
  • Assist with calendar and email management.
  • Provide billing and insurance verification support.
  • Maintain professionalism, confidentiality, and high patient care standards.
  • Support daily remote front desk and administrative operations.

Requirements

  • Previous experience as a Virtual Assistant is preferred but not required.
  • Medical education, degree, or medical license is not required.
  • Previous experience in a med spa, wellness clinic, concierge medical practice, integrative health clinic, or aesthetic practice is preferred.
  • Familiarity with wellness, hormone optimization, and aesthetic terminology/services is preferred.
  • Experience handling patient communication, appointment scheduling, or virtual reception work is highly preferred.
  • HIPAA training and certification is preferred.
  • Experience in customer service, patient care coordination, or virtual receptionist roles is a plus.
  • Excellent verbal and written English communication skills are required.
  • Strong phone communication, customer service skills, and a professional, warm, compassionate demeanor are required.
  • Must be able to speak and write English very clearly and have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Must have a reliable laptop or desktop, high-speed internet of at least 10 Mbps, a noise-canceling headset, a webcam, and a quiet professional workspace.
