Description

  • Triage and organize the CEO’s email twice daily, including sorting messages into action and follow-up categories.
  • Proofread, edit, and draft outgoing communications for the CEO’s review to improve clarity and accuracy.
  • Serve as gatekeeper for the CEO’s calendar, protecting focus time and managing scheduling requests from staff and clients.
  • Maintain the CEO’s weekly calendar template and coordinate around in-person office time in Seattle.
  • Track and manage outstanding administrative tasks, including personal documents, insurance information, and secure file backups.
  • Coordinate and track the sales pipeline, including email inquiries, lead follow-up, and qualification progress in BuilderTrend.
  • Support recruiting-related communication and pipeline coordination as needed.
  • Build and improve systems, SOPs, and documentation in tools such as Notion to reduce the CEO’s cognitive load.
  • Communicate daily with structured updates via Slack and help keep priorities visible and organized.
  • Handle confidential information responsibly and assist with both professional and limited personal tasks.

Requirements

  • 3+ years of experience supporting senior executives as an Executive Assistant, Operations Coordinator, or in a similar role.
  • Exceptional written communication skills and the ability to produce stronger written output than the executive.
  • Highly responsive, proactive, detail-oriented, and comfortable working in a fast-moving, high-accountability environment.
  • Strong organizational instincts, follow-through, and the ability to act as a reliable memory system for a busy CEO.
  • Experience working with systems, SOPs, documentation, and structured workflows.
  • Ability to anticipate needs and provide context-based assistance without constant direction.
  • Comfort handling confidential and sensitive information responsibly.
  • Tech-comfortable and adaptable to evolving tools and processes.
  • Reliable high-speed internet and a modern home office setup.
  • Preferred familiarity with tools such as BuilderTrend, Notion, Monograph, Smartsheet, Gemini, Fathom, or Fireflies.
