Description

  • Triage and summarize high-priority emails, organize inboxes, and draft emails for review before sending.
  • Manage meeting scheduling, confirmations, logistics, buffer times, focus blocks, and time-zone coordination.
  • Use an ideal-week framework to anticipate scheduling needs and keep the Founder’s calendar organized.
  • Handle location details, parking information, and other meeting logistics.
  • Support private equity and hedge fund operations through reporting workflows, portfolio tracking, and capital deployment summaries.
  • Assist with fund-level financial administration, including expense tracking, reconciliation support, and documentation management.
  • Maintain organized records for investment transactions, deal documents, due diligence materials, and compliance documentation.
  • Prepare internal investment memoranda, financial summaries, and board-level reporting materials.
  • Coordinate with accounting partners, fund administrators, legal, and investment stakeholders to keep reporting and workflows on track.
  • Identify process gaps, implement structured improvements, and maintain dashboards for portfolio performance and KPI monitoring.

Requirements

  • 3+ years of experience as an Executive Operations Assistant, Operations Manager, or senior Executive Assistant with operational responsibilities.
  • Strong experience managing workflows, SOP documentation, and process optimization.
  • Proven ability to own and execute recurring operational tasks with minimal oversight.
  • High attention to detail and strong follow-through.
  • Comfortable handling sensitive information in security-conscious environments.
  • Strong written and verbal communication skills.
  • Ability to prioritize competing tasks and manage deadlines independently.
  • Highly organized, structured thinker with a systems mindset.
  • Proactive problem-solver who anticipates bottlenecks before they arise.
  • Strong emotional intelligence and professional judgment.
  • Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
  • Experience supporting founders, investors, or operators in high-growth environments is preferred.
  • Exposure to finance, investing, private equity, or consulting industries is preferred.
  • Familiarity with tools such as Asana, ClickUp, Notion, Slack, Google Workspace, and CRM systems is preferred.
  • Experience coordinating remote teams is preferred.
  • Background in business operations, finance, or project management is preferred.
