Description

  • Triage and summarize high-priority emails and organize inboxes using a structured four-folder system.
  • Draft emails for review and progressively increase autonomy in outbound communication.
  • Manage scheduling logistics, confirmations, meeting windows, buffer times, and protected focus blocks.
  • Coordinate meeting details such as locations, parking, and time-zone alignment.
  • Provide behind-the-scenes operational support for private equity and/or hedge fund activities.
  • Maintain reporting workflows for portfolio tracking, capital deployment summaries, and performance monitoring.
  • Support fund-level financial administration, including expense tracking, reconciliation support, and documentation management.
  • Organize investment records, deal documentation, due diligence materials, and audit trails.
  • Prepare internal investment memoranda, financial summaries, and board-level reporting materials.
  • Identify process gaps and implement structured improvements across investment operations and stakeholder workflows.

Requirements

  • 3+ years of experience as an Executive Operations Assistant, Operations Manager, or high-level Executive Assistant with operational responsibilities.
  • Strong experience managing workflows, SOP documentation, and process optimization.
  • Proven ability to own recurring operational tasks with minimal oversight.
  • High attention to detail and strong follow-through.
  • Comfort handling sensitive information in security-conscious environments.
  • Strong written and verbal communication skills.
  • Ability to prioritize competing tasks and manage deadlines independently.
  • Highly organized, structured thinker with a systems mindset.
  • Proactive problem-solver who anticipates bottlenecks before they arise.
  • Strong emotional intelligence and professional judgment.
  • Reliable high-speed internet, modern laptop with multi-core processor, and noise-canceling headset.
  • Experience working for a large financial services firm.
  • Experience supporting founders, investors, or operators in high-growth environments (preferred).
  • Exposure to finance, investing, private equity, or consulting industries (preferred).
  • Familiarity with tools such as Asana, ClickUp, Notion, Slack, Google Workspace, and CRM systems (preferred).
  • Experience coordinating remote teams (preferred).
  • Background in business operations, finance, or project management (preferred).
