Description

  • Provide day-to-day administrative, logistical, and scheduling support for the AI Civics program.
  • Coordinate cross-departmental timelines, milestones, and deliverables across internal teams.
  • Monitor the program inbox, triage correspondence, and follow through on action items and partner requests.
  • Prepare agendas, track decisions, and manage follow-up for internal checkpoints and recurring program meetings.
  • Maintain and optimize partner relationship tracking systems and CRM records.
  • Lead scheduling and logistics for co-design workshops, train-the-trainer sessions, community of practice meetings, and partner convenings.
  • Handle operational execution for in-person convenings, including space booking, honoraria, and reimbursements.
  • Serve as a responsive point of contact for anchor partners and support ongoing partner communications.
  • Coordinate academic network calls and support information sharing among researchers.
  • Support participatory research activities, partner convenings, and coalition-building efforts across the AI Civics network.

Requirements

  • Bachelor’s degree required.
  • 5+ years of experience in project management, coordination, community support, or a closely related field.
  • Excellent writing, organizational, and cross-team communication skills.
  • Experience managing complex schedules and coordinating across multiple internal and external stakeholders.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • Strong relationship management skills with proactive outreach and follow-through.
  • Excellent written communication and comfort with high-volume email correspondence.
  • Ability to work independently in a remote environment.
  • Familiarity with relationship management tools and project management software such as Salesforce, Mailchimp, or Airtable preferred.
  • Previous experience in technology policy, AI accountability, or the intersection of civic power and emerging technology preferred.
  • Must be living in and authorized to work in the United States; visa sponsorship is not available.
  • Prospective employees must be fully vaccinated against COVID-19 before joining.

Benefits

  • Annual salary of $63,500 to $78,000, commensurate with experience.

  • 2-year full-time position with an expected start in September 2026 and end date of May 31, 2028.
