Description

  • Manage end-to-end onboarding for fellowship cohorts, from signed offers through required employment steps.
  • Track offers, background checks, I-9 verification, employee information collection, CoAdvantage HRIS setup, and benefits enrollment.
  • Maintain centralized onboarding trackers and ensure deadlines, records, payroll, and benefits information are accurate and ready for start dates.
  • Serve as the primary contact for fellow onboarding questions, instructions, reminders, and updates.
  • Coordinate with recruiting, the Claude Corps program team, Finance, HR partners, and service providers to resolve onboarding needs.
  • Escalate sensitive, compliance-related, or exception cases to the Senior HR Business Partner.
  • Maintain employee records, process documentation, the Notion hub, and Fellow Handbook resources.
  • Support offboarding and ongoing employee record maintenance between cohorts.
  • Create repeatable workflows and use AI and automation to improve efficiency and accuracy as cohorts grow.

Requirements

  • Experience coordinating high-volume onboarding, people operations, or HR processes with time-sensitive requirements.
  • Familiarity with HRIS or PEO systems and the ability to learn new tools quickly.
  • Strong organizational skills and attention to detail in maintaining records, trackers, and deadlines.
  • Clear, warm communication skills and a commitment to a positive employee experience.
  • Sound judgment in handling confidential information, resolving routine questions, and escalating sensitive matters.
  • Experience using AI or automation tools to improve workflows and reduce manual work.
  • Proactive, service-oriented approach with the ability to manage competing priorities in a fast-paced environment.
  • Ability to work remotely from anywhere in the United States.

  • Annual salary of $65,000–$85,000 USD.
