Description

  • Handle information requests and perform clerical support for one or more executives.
  • Manage executive calendars, prioritize requests, and book travel as needed.
  • Schedule and coordinate meetings, appointments, conference calls, and other activities.
  • Greets internal and external customers, handles general inquiries, and routes complex issues to the appropriate person or department.
  • Draft and compile meeting agendas, speeches, reports, and presentation materials.
  • Prepare basic charts, graphs, tables, and other supporting materials at the direction of the executive.
  • Screen and answer telephone calls and emails with discretion.
  • Receive, assign, and route incoming mail, files, and materials to the appropriate individual.
  • Maintain records, confidential files, and hold/diary systems, including follow-up tasks.
  • Prepare expense reports, process expense-related payments, and provide backup support to other Executive Assistants as needed.

Requirements

  • Fluent English proficiency is required.
  • Experience handling confidential administrative support for executives is implied by the role.
  • Strong judgment and initiative to manage routine and unusual situations.
  • Ability to organize calendars and prioritize multiple requests.
  • Ability to coordinate meetings, communications, and travel arrangements.
  • Customer-centric problem-solving approach.
  • Ability to prepare reports, presentation materials, charts, graphs, and tables.
  • Attention to detail in maintaining records, files, and expense reporting.
  • Ability to work collaboratively and provide backup support to other Executive Assistants as needed.
