Description

  • Serve as the in-house eClinicalWorks subject matter expert and migrate scheduling workflows from external calendars into eCW.
  • Set up and maintain patient charts, records, lab uploads, and auditable electronic documentation.
  • Ensure HIPAA-compliant handling of patient information and help standardize practice workflows.
  • Coordinate appointments, changes, reminders, follow-ups, and resolution of scheduling gaps.
  • Guide new patients through digital intake and medical-history completion before visits.
  • Provide concierge-style patient support by phone, text, and email, acting as liaison between patients and the practitioner.
  • Process point-of-sale collections for self-pay services through Square, Zelle, or payment portals.
  • Maintain daily appointment logs, monitor general inquiries, and proactively resolve administrative back-office needs.

Requirements

  • 2+ years of daily hands-on experience using eClinicalWorks, including its appointment book, templates, and chart management.
  • 2–3 years of experience as a Medical Receptionist, Patient Care Coordinator, or Virtual Medical Assistant.
  • Excellent written and verbal English communication skills, with a clear, neutral accent and strong emotional intelligence.
  • Ability to build rapport with an active adult patient population, primarily ages 45+.
  • Understanding of HIPAA, patient confidentiality, secure document handling, and medical privacy requirements.
  • Comfort processing cash-pay, non-insurance transactions through Square and electronic payment channels.
  • Dedicated, quiet home office with high-speed internet; dual monitors and a noise-canceling headset are preferred.
  • Private-practice, functional-medicine, or cash-pay clinic experience is preferred.
  • Must be able to receive payments through Wise in SA, UK, US, or PH, where local bank transfers are supported.
