Description

  • Monitor the internal task board for aging unclaimed jobs and actively claim or dispatch work by contacting process servers through text, phone, email, and mapping tools.
  • Identify and resolve jobs blocked by missing customer or order information, escalating issues when needed.
  • Track recurring dispatch blockers, report trends, and escalate operational problems to the appropriate teams.
  • Review unclaimed zip codes and collaborate with servers to improve local coverage or determine why coverage is lacking.
  • Notify recruiters of locations that need additional coverage due to demand spikes, poor local performance, or reliance on offline vendors or sheriff dispatch.
  • Maintain proactive customer communication to manage expectations, support satisfaction, and identify renewal opportunities.
  • Collect customer feedback and share it with Sales and Operations to improve proposals and service quality.
  • Maintain accurate documentation and notes in internal systems to support data quality and business decisions.
  • Monitor KPIs related to claim and dispatch speed, aging jobs, response times, customer satisfaction, and revenue opportunities.
  • Contribute to process improvements that reduce cycle times and increase operational efficiency.

Requirements

  • 1–2 years of experience in dispatching, customer service, operations coordination, or a similar fast-paced, communication-heavy role.
  • Strong organizational skills with the ability to manage high-volume tasks and shifting priorities.
  • Excellent verbal and written communication skills.
  • Ability to analyze information, identify roadblocks, and escalate issues appropriately.
  • Comfort navigating digital tools, internal platforms, and map-based systems.
  • Experience with CRM or sales/operations tools is a plus.
  • Ability to work independently while contributing to team goals with high reliability and accuracy.
  • Sales-minded approach with comfort recognizing revenue opportunities and collaborating with Sales.
  • Customer-facing demeanor with a proactive, problem-solving mindset and the ability to stay calm under pressure.
  • Ability to work remotely with self-discipline and strong time-management skills.
