Description

  • Extract monthly billing data from the Zūm portal for assigned accounts at the start of each billing cycle.
  • Validate portal data against Operations adjustment submissions and escalate discrepancies before invoice creation.
  • Apply account-specific contract rules, including rate structures, budget codes, campus allocations, and special handling requirements.
  • Prepare and reconcile invoices in NetSuite using validated billing data for each assigned account.
  • Submit invoices to managers and operations stakeholders for review and approval before issuance.
  • Issue approved invoices to district accounts payable contacts by the monthly deadline.
  • Support dispute investigations by providing billing data, supporting documentation, and account context.
  • Maintain complete billing records, including issued invoices, source data, adjustment submissions, and exception documentation.
  • Identify recurring data quality issues or systemic patterns and escalate them for process review.

Requirements

  • 3+ years of experience in dispatch, school operations, transportation coordination, or billing support in a transportation or logistics environment.
  • Operational experience is the most important qualification for this position.
  • Ability to interpret route and ridership data and identify when information needs further investigation.
  • Exceptional attention to detail and organizational discipline to manage multiple accounts and monthly billing cycles.
  • Proficiency in spreadsheet applications and data management tools, including data extraction, lookup functions, and billing template preparation.
  • Foundational familiarity with an ERP or billing platform such as NetSuite, QuickBooks, or equivalent.
  • Comfort with structured data entry and system navigation; NetSuite training will be provided.
  • Clear, professional written communication for documenting discrepancies, rationale, and account notes.
  • Strong accountability and deadline orientation for fixed monthly billing dates.
  • Billing support experience in field services or logistics environments, where invoices are built from operational activity data, is preferred.
  • Familiarity with multi-entity or cost-center billing structures is preferred.
  • Experience in both corporate billing environments and smaller or growth-stage organizations is preferred.
  • Comfort building or improving billing templates and record-keeping systems with limited existing infrastructure is preferred.

Benefits

  • Targeted pay range for Seattle: $81,000 to $104,000.
  • Additional compensation may include equity or commissions.
