Description

  • Own the interview scheduling process across APAC, US, and EMEA, including coordinating multi-timezone panels and managing calendar conflicts.
  • Serve as a central point of contact for Talent Acquisition, hiring managers, interviewers, and candidates on scheduling logistics and process questions.
  • Drive candidate engagement throughout the hiring process by keeping candidates informed, responsive, and supported.
  • Configure and manage jobs in Greenhouse ATS, ensuring requisition details, approval workflows, and job fields are accurate.
  • Manage the job approval process and coordinate with hiring managers and TAPs to prevent bottlenecks.
  • Maintain data integrity in Greenhouse and ensure workflows are followed for downstream reporting.
  • Handle sensitive candidate and compensation information with discretion and confidentiality.
  • Identify process gaps and inefficiencies and help improve the scheduling and coordination process.
  • Maintain and improve coordinator documentation and SOPs.

Requirements

  • 2+ years of experience as a recruiting coordinator or in an HR operations/admin role.
  • Willingness to work hours aligned with the USA / Europe workday.
  • Hands-on experience with interview scheduling coordination and ATS management.
  • Strong detail orientation, organizational skills, and ability to manage competing priorities.
  • Comfort with complex, multi-timezone scheduling involving multiple stakeholders.
  • Experience communicating across a globally distributed team, including colleagues in the US, APAC, and EMEA.
  • Proficiency in Greenhouse ATS, Google Suite, and Jira Service Management (JSM) is highly preferred.
  • Experience at a high-growth SaaS or tech company is a plus.
