Description

  • Answer and manage inbound calls for both clinic locations and serve as the primary contact for patient inquiries.
  • Provide friendly, professional support to patients about services, appointments, and clinic information.
  • Conduct appointment confirmation and reminder calls.
  • Manage patient intake forms, consent forms, and related documentation to keep records complete and current.
  • Follow up with patients after visits and re-engage inactive patients to encourage return visits.
  • Promote packages, memberships, and add-on services to support sales and upselling efforts.
  • Schedule, reschedule, and cancel patient appointments as needed.
  • Conduct outreach campaigns during slower periods to help generate appointments.
  • Coordinate outreach with local businesses for pop-up events and partnership opportunities.
  • Handle administrative support such as emails, calendar management, and occasional executive assistant tasks.

Requirements

  • Experience working in a med spa, wellness clinic, healthcare practice, or similar healthcare environment.
  • Experience handling inbound and outbound calls, appointment scheduling, and patient support in a healthcare setting.
  • Experience with sales, upselling, or recommending services and packages.
  • Zenoti experience is preferred, or strong EMR/EHR experience with the ability to learn new systems quickly.
  • Strong verbal and written English communication skills.
  • Professional, personable, and patient-focused approach.
  • Sales-oriented mindset with the ability to promote memberships, packages, and add-on services.
  • Familiarity with AI tools and technology.
  • Must be fully dedicated and available during scheduled working hours and able to work independently.
  • Must be able to provide NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer is required.
  • High-speed internet connection with a minimum speed of 25 Mbps is required.
  • Noise-canceling headset is required.
  • Webcam is required for virtual meetings.
  • Quiet, professional workspace is required.
