Description

  • Answer inbound patient calls during evenings and weekends.
  • Schedule consultations and appointments.
  • Respond to patient inquiries professionally and accurately.
  • Convert patient inquiries into scheduled appointments when appropriate.
  • Reach out to inactive patients through phone, text, and email campaigns.
  • Encourage previous patients to reconnect with the clinic and book treatments.
  • Contact prospective and existing patients about clinic events and services.
  • Assist with flyer distribution and outreach follow-up to support appointment bookings.
  • Verify patient insurance coverage when needed.
  • Provide general administrative support, organic social media posting and engagement, occasional medical scribing, and chart documentation.
  • Maintain accurate patient records in the clinic’s EMR system.

Requirements

  • Part-time availability for 20 hours per week on Tuesday, Friday, and Saturday during specified PDT hours.
  • Excellent spoken and written English communication skills.
  • Spanish-English bilingual ability is highly preferred.
  • Strong phone etiquette and confidence communicating with patients.
  • Experience handling inbound calls and appointment scheduling.
  • Experience with patient activation, patient reactivation, or outreach campaigns is highly preferred.
  • Previous virtual assistant experience is preferred.
  • Prior experience in healthcare administration, patient coordination, or medical virtual assistance is highly preferred.
  • Familiarity with EMR systems is beneficial; Rapid EMR experience is a plus but not required.
  • Basic insurance verification experience is a plus but not required.
  • Experience with regenerative medicine, stem cell therapy, peptide therapy, hormone replacement therapy (HRT), or similar wellness treatments is an advantage.
  • Must submit an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with the camera on when needed.
  • Reliable laptop or desktop computer, stable high-speed internet with at least 25 Mbps, noise-canceling headset, working webcam, and a quiet professional workspace.
  • Comfortable working remotely using VPN access and remote desktop systems.
