Description

  • Serve as the first point of contact for patients and manage a high volume of inbound calls professionally and efficiently.
  • Answer patient inquiries, provide information, route concerns appropriately, and help reduce missed calls and wait times.
  • Schedule, reschedule, and confirm patient appointments while coordinating provider availability and clinic calendars.
  • Enter accurate patient information into the system and assist with appointment-related questions and requests.
  • Verify patient insurance coverage and benefits and perform eligibility checks using insurance portals and systems.
  • Communicate coverage information to patients when necessary and maintain accurate insurance documentation.
  • Process, track, and follow up on prior authorization requests with insurance providers.
  • Assist with patient payment collection and processing.
  • Maintain accurate patient records and support daily administrative operations and workflow efficiency.
  • Collaborate with clinic staff and management to ensure smooth operations.

Requirements

  • Fluent bilingual Spanish and English speaker with excellent verbal and written communication skills in both languages.
  • Proven experience in a healthcare administrative, medical receptionist, medical virtual assistant, or similar role.
  • Strong customer service and patient communication skills.
  • Ability to multitask effectively in a fast-paced, high-volume environment.
  • Strong organizational skills and attention to detail.
  • Ability to work independently while maintaining productivity and professionalism.
  • Willingness to learn clinic-specific workflows and procedures during onboarding and training.
  • Preferred experience as a virtual assistant or in a physical therapy, occupational therapy, rehabilitation, medical clinic, or healthcare setting.
  • Experience handling high-volume inbound calls, patient scheduling, insurance eligibility verification, prior authorizations, and payment processing.
  • Experience with Tebra EHR, RingCentral, and insurance verification portals or payer websites is highly preferred.
  • Must be available for video meetings with the camera on when required.
  • Must demonstrate professionalism, reliability, and long-term commitment.
  • Must maintain confidentiality and comply with healthcare privacy standards.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be proficient in speaking and writing English and Spanish clearly.
  • Must have a reliable laptop or desktop computer, high-speed internet of at least 25 Mbps, a noise-canceling headset, a webcam, and a quiet professional workspace.
