Description

  • Manage incoming patient calls with professionalism and empathy.
  • Handle patient intake, appointment scheduling, confirmations, and calendar coordination.
  • Follow up on personal injury referrals and new patient inquiries.
  • Verify insurance eligibility and support administrative processing.
  • Coordinate patient care and ongoing appointment follow-ups.
  • Communicate with attorneys, providers, and referral offices regarding cases.
  • Send, receive, and organize medical records, lien agreements, and related documentation.
  • Maintain accurate patient records and other administrative documentation.
  • Support backend administrative workflows and general office coordination.
  • Use Jane EHR and communication tools such as Google Voice, WhatsApp, Zoom, and Google Chat.
  • Provide bilingual Spanish-English support to patients and referral partners.

Requirements

  • Fluent in Spanish and English, both written and verbal.
  • Prior experience in a personal injury or healthcare practice is strongly preferred.
  • Experience with patient scheduling, referral follow-ups, and insurance verification.
  • Familiarity with Jane EHR or similar medical scheduling systems is preferred.
  • Strong phone etiquette and patient communication skills.
  • Professional, compassionate, trustworthy, and detail-oriented demeanor.
  • Highly organized with strong multitasking and time management abilities.
  • Comfortable working independently and solving problems proactively.
  • Able to handle confidential patient information with HIPAA awareness.
  • Tech-savvy and able to quickly learn new systems and workflows.
  • Reliable internet connection and professional remote work environment are required.
  • Must be proficient in speaking and writing English very clearly.
  • Must have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer is required.
  • High-speed internet connection with a minimum of 10 Mbps is required.
  • Noise-canceling headset is required.
  • Webcam for virtual meetings is required.
  • Quiet, professional workspace is required.
