Description

  • Answer inbound calls and serve as the virtual front desk/receptionist.
  • Assist patients with scheduling, inquiries, follow-ups, and appointment changes.
  • Build rapport with patients and handle sensitive conversations with empathy and professionalism.
  • Conduct patient intake and collect demographic, insurance, and paperwork information.
  • Send, manage, and track new patient paperwork before appointments.
  • Follow up with no-show patients and support rescheduling efforts.
  • Collect and process insurance information, co-pays, outstanding balances, and payment plans.
  • Coordinate with billers on prior authorizations and billing-related follow-up.
  • Ensure clinical notes are completed and signed by providers.
  • Maintain accurate records in the EHR system and manage email and administrative tasks.
  • Assist with onboarding new providers into systems and workflows.
  • Maintain confidentiality and HIPAA compliance at all times.

Requirements

  • At least 1 year of experience in a behavioral health, mental health, or medical administrative role preferred.
  • Experience with SimplePractice EHR is strongly preferred.
  • Strong phone communication and customer service skills are required.
  • Comfortable handling emotionally sensitive patient interactions.
  • Tech-savvy and able to quickly learn systems and workflows.
  • Highly organized with strong attention to detail.
  • Able to multitask and work independently in a remote setting.
  • Experience with insurance verification, co-pay collection, and prior authorization coordination is a plus.
  • Must be proficient in speaking and writing English very clearly.
  • Must have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer is required.
  • High-speed internet connection with a minimum speed of 10 Mbps is required.
  • Noise-canceling headset is required.
  • Webcam is required for virtual meetings.
  • Must have a quiet, professional workspace.
