Description

  • Manage calendars, meetings, and scheduling across multiple time zones.
  • Organize inboxes, prioritize messages, flag urgent items, and draft professional correspondence.
  • Prepare meeting notes and track follow-up items to keep priorities and deadlines on track.
  • Maintain accurate records, databases, and CRM data in tools such as Google Sheets, Excel, HubSpot, Salesforce, and other CRM systems.
  • Organize files and documentation across Google Drive, Dropbox, and Microsoft SharePoint.
  • Conduct research on competitors, vendors, market trends, and business insights, then summarize findings.
  • Support ad hoc operational requests, special projects, and ongoing task execution.
  • Respond to client inquiries, route communication, and follow up with vendors and stakeholders.
  • Assist with invoicing, expense tracking, light bookkeeping, and project tracker maintenance in tools such as Asana, Trello, Notion, and Monday.com.
  • Keep workflows, operational systems, and next-day priorities updated and organized.

Requirements

  • 1–2 years of experience in virtual assistant, administrative support, operations coordination, or executive support roles.
  • Strong proficiency with Microsoft Office and Google Workspace.
  • Excellent written and verbal English communication skills.
  • Strong time management and organizational abilities.
  • Ability to work independently in remote environments.
  • Reliable internet connection and a professional remote setup.
  • Experience with CRMs such as HubSpot, Salesforce, or Zoho is preferred.
  • Familiarity with QuickBooks or Xero is preferred.
  • Experience supporting founders, startups, or remote teams is preferred.
  • Experience managing multiple clients or executives simultaneously is preferred.
