Description

  • Research, evaluate, and prioritize tradeshows, conferences, and industry events aligned with ICP and revenue goals.
  • Own and maintain a rolling 12-month event calendar.
  • Negotiate sponsorships, booth space, speaking slots, and related event contracts with organizers, vendors, and venues.
  • Plan and execute events end to end, including booth design, shipping, swag, collateral, lead capture, badge scanners, AV, catering, hotel blocks, and travel logistics.
  • Attend events on-site as the primary point of contact, including booth setup, teardown, troubleshooting, and day-of execution.
  • Brief and coordinate internal attendees on goals, talking points, target accounts, and logistics.
  • Partner with sales to book pre-show meetings, host on-site dinners and customer events, and ensure leads are captured, qualified, and followed up quickly.
  • Work with marketing on pre- and post-event campaigns across email, landing pages, paid promotion, and social to drive booth traffic and meetings.
  • Manage the event budget, track spend, forecast costs, flag risks, and make trade-off decisions.
  • Define event KPIs, report on leads, meetings, pipeline, and ROI, and produce post-event analyses to improve future performance.

Requirements

  • 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or tech.
  • Track record of organizing events end to end, even at a smaller scale.
  • Experience managing event budgets, including forecasting, spend tracking, and ROI-focused trade-offs.
  • Ability to define KPIs and build reports connecting event activity to pipeline and revenue.
  • Genuine interest in AI and examples of using AI to improve event marketing workflows; this is required.
  • Familiarity with HubSpot on the CRM side.
  • Strong project management skills with the ability to manage timelines, budgets, vendors, and multiple moving pieces.
  • Comfort negotiating with vendors and event organizers for favorable terms.
  • Excellent written and verbal communication skills, including the ability to brief executives and engage prospects.
  • Willingness and ability to travel 30% to 50% during peak event seasons across North America, with potential European travel.
  • Must have the right to work in the country of residence; visa sponsorship is not available.
  • Must live within roughly an hour of a major airport hub with frequent direct flights in the US or Canada.
  • Nice to have experience with Cvent, Splash, Bizzabo, or Goldcast.
  • Nice to have experience working with international events or vendors.
  • Nice to have background in B2B SaaS or a similarly fast-paced tech environment.
