Description

  • Research, evaluate, and prioritize tradeshows, conferences, and industry events that fit the ICP and revenue goals.
  • Own and maintain a rolling 12-month event calendar.
  • Negotiate sponsorships, booth space, speaking slots, and vendor contracts to maximize budget efficiency.
  • Plan and execute events end to end, including booth setup, shipping, swag, collateral, lead capture, AV, catering, hotel blocks, and team travel logistics.
  • Serve as the on-site point of contact at every event, including booth setup, teardown, and real-time troubleshooting.
  • Prepare attending team members on objectives, talking points, target accounts, and event logistics.
  • Partner with sales to book pre-show meetings, run on-site dinners and customer events, and ensure leads are captured, qualified, and followed up quickly.
  • Work with marketing on pre- and post-event campaigns, including email outreach, landing pages, paid promotion, and social media.
  • Manage the full events budget, track spend, forecast costs, and make trade-off decisions when priorities change.
  • Define event KPIs and produce post-event reports on leads, meetings, pipeline, ROI, and optimization opportunities.

Requirements

  • 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or tech.
  • Demonstrated experience organizing events end to end, even at a smaller scale.
  • Experience managing an events budget, including forecasting, tracking spend, and making trade-offs to maximize ROI.
  • Ability to define KPIs and build reports that connect event activity to pipeline and revenue.
  • Genuine interest in AI and experience using AI to improve event marketing work, such as research, vendor outreach, reporting, content drafting, or lead enrichment; this is required.
  • Familiarity with HubSpot on the CRM side.
  • Strong project management instincts and the ability to manage timelines, budgets, vendors, and many moving pieces.
  • Comfort negotiating with vendors and event organizers.
  • Excellent written and verbal communication skills.
  • Willingness and ability to travel 30% to 50% during peak event seasons across North America, with potential European travel as the company expands.
  • Must be based in the US or Canada and live within roughly an hour of a major airport hub with frequent direct flights.
  • Must have the right to work in the country of residence; visa sponsorship is not available.
  • Preferred experience with event tools such as Cvent, Splash, Bizzabo, or Goldcast.
  • Preferred experience working with international events or vendors.
  • Preferred background in B2B SaaS or a similar fast-paced tech environment.
