Description

  • Research, evaluate, and prioritize tradeshows, conferences, and industry events aligned with company ICP and revenue goals.
  • Own and maintain a rolling 12-month event calendar.
  • Negotiate sponsorships, booth space, speaking slots, and related event contracts and add-ons.
  • Plan and execute events end to end, including booth design, shipping, swag, collateral, lead capture, badge scanners, AV, catering, hotel blocks, and team travel logistics.
  • Serve as the on-site point of contact at every event, including booth setup, teardown, and real-time troubleshooting.
  • Brief attending team members on event objectives, talking points, target accounts, and logistics.
  • Partner with sales to book pre-show meetings, run on-site dinners and customer events, and ensure leads are captured, qualified, and followed up on quickly.
  • Work with marketing on pre- and post-event campaigns, including email outreach, landing pages, paid promotion, and social content.
  • Manage the event budget, track spend, forecast costs, and make trade-off decisions as priorities shift.
  • Define event KPIs and produce post-event reports on leads, meetings, pipeline, ROI, and areas for improvement.

Requirements

  • 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or tech.
  • Proven experience organizing events end to end, even at a smaller scale.
  • Experience managing event budgets, including forecasting, spend tracking, and ROI-focused trade-offs.
  • Ability to define KPIs and build reports connecting event activity to pipeline and revenue.
  • Demonstrated use of AI tools or workflows to improve event marketing work; this is a must-have.
  • Familiarity with HubSpot on the CRM side.
  • Strong project management skills with the ability to handle timelines, budgets, vendors, and multiple moving parts.
  • Comfort negotiating with vendors and event organizers.
  • Excellent written and verbal communication skills, including the ability to brief executives and engage prospects.
  • Willingness and ability to travel 30% to 50% during peak seasons across North America, with potential European travel.
  • Must be based in the US or Canada, live within roughly an hour of a major airport hub with strong direct flights, and have the legal right to work in the country of residence; no visa sponsorship is available.
  • Nice to have experience with event tools such as Cvent, Splash, Bizzabo, or Goldcast.
  • Nice to have experience working with international events or vendors.
  • Nice to have a background in B2B SaaS or a similar fast-paced tech environment.
