Description

  • Provide executive and administrative support, including calendar, email, scheduling, meeting, travel, document, data entry, and project tracking tasks.
  • Manage day-to-day operational activities, maintain organized digital files, and keep CRM and project management systems updated.
  • Assist with process documentation and create standard operating procedures (SOPs).
  • Support recruiting for blue-collar, field, and operational roles by sourcing, screening, and coordinating candidates across multiple channels.
  • Conduct initial candidate outreach, screening interviews, interview scheduling, and applicant tracking system (ATS) management.
  • Coordinate onboarding activities such as offer letters, new hire documentation, background checks, and orientation scheduling.
  • Track recruitment pipelines, hiring metrics, and staffing progress, and provide updates and recommendations to leadership.
  • Support workforce planning by identifying staffing needs, building talent pipelines, and improving hiring processes.
  • Communicate with candidates, hiring managers, clients, and vendors to ensure smooth coordination and professional follow-up.
  • Conduct research and prepare reports, presentations, and summaries for leadership review while handling confidential information appropriately.

Requirements

  • Minimum 2 years of experience as an Executive Assistant, Virtual Assistant, Recruiter, Talent Acquisition Specialist, or in a similar role.
  • Proven experience recruiting blue-collar, trade, construction, field service, or operational staff is preferred.
  • Strong understanding of sourcing techniques and candidate screening processes.
  • Excellent verbal and written English communication skills.
  • Experience with Applicant Tracking Systems (ATS), CRM platforms, and recruiting tools.
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar) and/or Microsoft Office Suite.
  • Familiarity with project management tools such as ClickUp, Asana, Trello, Slack, or Notion.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Self-starter who can work independently with minimal supervision.
