Description

  • Greet and check in clients and patients, verify and update medical records, and confirm appointment details in practice management software.
  • Answer and manage a multi-line phone system and handle inquiries about scheduling, prescription refills, vaccination records, and hospital information.
  • Perform client check-out by processing payments, posting charges, explaining invoices, and scheduling follow-up appointments.
  • Communicate medical information, diagnoses, and care instructions clearly and compassionately, including during emotionally sensitive situations.
  • Maintain accurate electronic medical records and ensure timely data entry in the practice information management system.
  • Coordinate with veterinarians, technicians, and support staff to relay client communications, flag urgent cases, and support patient flow.
  • Keep the reception area and waiting room clean and organized to support a positive client experience.

Requirements

  • Minimum 1 year of experience as a veterinary receptionist.
  • Experience with veterinary practice management software; Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet preferred.
  • Knowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic procedures.
  • Proficiency in appointment scheduling, multi-line phone management, medical records management, and payment processing.
  • Strong customer service skills with the ability to manage high-volume client interactions calmly and accurately.
  • Strong verbal and written communication skills, including active listening and conflict resolution.
  • Comfort working with animals of varying sizes, breeds, and temperaments, including fearful or reactive patients.
  • Full-time availability, averaging 30-40 hours per week, with coverage during hospital hours Monday–Saturday.
