Description

  • Collaborate with Interior Designers, Architects, and the Senior FF&E Procurement Manager to confirm project timelines, budgets, and deadlines.
  • Support the FF&E/Interior Designer by sourcing information needed to complete detailed specification documents.
  • Build the initial procurement schedule from project layouts, renderings, and specifications.
  • Prepare the procurement budget and ensure all supporting documentation meets required standards.
  • Organize the purchasing schedule and coordinate with procurement and project managers to achieve project milestones.
  • Work with Finance to raise funding requests, issue purchase orders, and process proforma invoices on time.
  • Receive, approve, and route invoices for payment while maintaining procurement schedule records.
  • Liaise with global suppliers to obtain quotes, negotiate terms of service, and manage supplier relationships.
  • Coordinate FF&E logistics, delivery, installation, and handover with internal teams and contractors.
  • Maintain accurate procurement, budget, and supplier records, including weekly procurement review updates.

Requirements

  • Bachelor’s degree in Interior Design, Architecture, Supply Chain, or Logistics; a master’s degree in one of these fields is preferred.
  • Project Management degree at master’s level or equivalent is a plus.
  • Minimum 3 years of experience in a procurement agency or design studio in a similar role.
  • Advanced or fluent English and Portuguese are required.
  • Experience working on global projects and with international suppliers across Europe, Brazil, DR, and Latin America is advantageous.
  • Experience establishing and executing new processes is required.
  • Experience preparing O&M Manuals for hospitality projects is required.
  • Strong familiarity with procurement, budgeting, contracts, purchase orders, and logistics processes is expected.
