Description

  • Manage a pipeline of new 401(k) plan cases from initial contract through go-live, tracking milestones and SLAs in Salesforce and internal tools.
  • Draft new client plan documents based on elected plan designs and ensure provisions align with ERISA, IRS, and DOL requirements.
  • Review plan design elections for completeness and consistency before document preparation begins.
  • Establish trust accounts and confirm investment elections are set up according to the plan document and client instructions.
  • Coordinate payroll setup requirements, including contribution data, employee census information, and payroll schedules.
  • Guide plan sponsors through payroll system integration and explain onboarding steps, timelines, and required actions.
  • Monitor initial payroll submissions after go-live and troubleshoot contribution, eligibility, and payroll file issues.
  • Serve as the primary point of contact for plan sponsors, financial advisors, and Third Party Administrators throughout onboarding.
  • Conduct kickoff calls, provide milestone-based updates, and deliver ongoing platform education to clients.
  • Escalate complex issues and cross-functional blockers to the New Plan Team Lead and support team process improvements.

Requirements

  • Experience in the 401(k) or retirement plan industry preferred, with exposure to new plan setup, plan document preparation, or plan implementation.
  • Experience working with a fintech, SaaS-based, or technology-driven platform preferred.
  • Working knowledge of plan document provisions, Safe Harbor, traditional 401(k), Profit Sharing, ERISA compliance requirements, and IRS contribution limits preferred.
  • Familiarity with payroll integration processes for 401(k) plans, including contribution file formats and census data management.
  • Experience conducting client-facing onboarding calls or plan setup consultations preferred.
  • Proficiency in Salesforce or comparable CRM tools preferred; experience with workflow or case management platforms such as Asana is a plus.
  • Proficient in Microsoft Office, including Outlook, Excel, and Word.
  • Familiarity with compliance testing software and 5500 tools such as FT Williams or ASC is a plus.
  • QKA designation or active pursuit of ASPPA or NIPA credentials is a plus.
  • Bachelor’s degree or equivalent combination of education and experience.
