Description

  • Manage active agent payroll data and coordinate payroll processing across Jamaica, the Philippines, and Puerto Rico.
  • Work directly with regional operating managers to receive, review, and process payroll files.
  • Review payroll notes for deductions, time off, bonuses, stipends, and other pay adjustments before deadlines.
  • Track regional roster changes to ensure payroll files match current team status.
  • Generate monthly client invoices in QuickBooks Online using payroll records and ATS data.
  • Monitor and update recurring invoice templates and cancel templates for terminated or cancelled clients.
  • Calculate prorated charges and mid-month adjustments manually in Excel, including credit memos for early terminations.
  • Review historical payroll notes to bill back client-approved expenses while excluding internal company-covered costs.
  • Reconcile data across the ATS, QuickBooks, and payroll systems to identify and resolve discrepancies.
  • Set up ACH collections for new clients and manage automated collections for roster or rate changes.
  • Track invoice statuses and follow up on client collections according to standard timelines.

Requirements

  • 3-5+ years of experience in corporate billing, regional or international payroll coordination, accounts receivable, or bookkeeping.
  • Strong practical experience with QuickBooks Online, including client directories, recurring templates, and invoice lists.
  • Advanced Excel or Google Sheets skills, including VLOOKUP, proration formulas, and Pivot Tables.
  • Exceptional attention to detail and experience cross-referencing multiple databases to find financial variances.
  • Fluent written English communication skills and the ability to coordinate quickly with global operations teams and leadership.
  • Part-time availability for a 20-hour workweek.
  • Flexibility to work in the US timezone.
  • Ability to maintain a distraction-free work-from-home setup.
  • Laptop or desktop with at least 8GB RAM and an i5 processor.
  • Reliable high-speed internet with a minimum speed of 10 MBPS.
