Description

  • Design the organisational structure, role definitions, and hiring plan for the broker operations team.
  • Define and document scalable, audit-ready workflows for client funds management, compliance operations, reconciliation, and partner management.
  • Select and implement operational tooling, back-office systems, and reporting infrastructure for a compliant broker operation.
  • Establish governance frameworks including internal controls, escalation procedures, SLAs, and risk policies aligned with FSA requirements.
  • Recruit, onboard, and lead the initial operations team while building a culture of accountability, precision, and continuous improvement.
  • Own the end-of-day and month-end reconciliation process with the Settlement team and resolve discrepancies.
  • Monitor settlement status and coordinate with counterparties, custodians, and internal teams to resolve breaks in a controlled and auditable manner.
  • Manage client funds processing in compliance with FSA client fund segregation and reporting obligations.
  • Develop business continuity and incident response plans to protect client assets and platform integrity.
  • Build and lead the client services team, including service standards, team structure, roles, SLAs, and escalation paths.
  • Lead client-facing support for onboarding, KYC/AML verification, account management, and ongoing client enquiries.
  • Streamline and document the client onboarding journey to balance client experience with FSA compliance requirements.
  • Select and implement CRM and support tools to improve query resolution, team efficiency, and client retention.
  • Create feedback loops between client services, product, and operations to drive continuous service improvement.
  • Build localisation capabilities within client services to support international clients and new markets.

Requirements

  • 8+ years of experience in forex brokerage or financial services operations, with experience building and leading teams.
  • Experience building operational functions from scratch, including designing processes, implementing systems, and hiring teams.
  • Solid understanding of trade lifecycle, settlement workflows, and reconciliation processes within a forex or multi-asset brokerage.
  • Hands-on experience acting as an operational liaison between business operations and trading or settlement functions.
  • Strong knowledge of FSA regulations, client fund rules, and compliance requirements.
  • Familiarity with ASIC, FCA, MAS, or similar regulatory frameworks is a plus.
  • Familiarity with MT4/MT5 platforms, back-office trading systems, and CRM tooling.
  • Bilingual in Japanese and English, essential for working with teams, regulators, liquidity partners, and international stakeholders.
  • Data-driven and structured thinker with experience building KPI frameworks and operational reporting from scratch.
  • Experience in a start-up or high-growth environment is ideal.
