Description

  • Manage high-volume inbound and outbound patient calls for multiple medical spa locations with warmth and professionalism.
  • Answer patient questions about aesthetic treatments, services, baseline pricing, and office policies.
  • Route detailed messages and clinical inquiries to the appropriate providers or management staff.
  • Schedule, confirm, reschedule, and cancel consultations, treatments, and follow-up appointments in Vagaro.
  • Optimize provider calendars to maximize productivity, reduce gaps, and support smooth patient flow.
  • Manage secure patient text communication for reminders, confirmations, and follow-ups.
  • Respond to patient texts promptly using flawless grammar and professional syntax.
  • Maintain accurate patient records, intake paperwork, and demographic information in Vagaro.
  • Document patient touchpoints, preferences, and scheduling notes to ensure continuity of care and operations.

Requirements

  • Minimum 2+ years of experience as a Medical Receptionist, Front Desk Coordinator, or Patient Coordinator in a premium U.S. clinical setting.
  • Previous experience in a Medical Spa, Aesthetic, Cosmetic, Dermatology, or Plastic Surgery practice is strongly preferred.
  • Outstanding verbal and written English communication skills with clear articulation, flawless grammar, and little to no noticeable accent.
  • Strong baseline familiarity with cloud-based phone systems such as RingCentral and digital scheduling matrices.
  • A secure, private, distraction-free home office with high-speed internet.
  • Ability to present as polished, professional, and customer-focused in a concierge-style environment.
