Description

  • Respond to inbound parent inquiries by phone, email, and text during established business hours in a timely, professional manner.
  • Conduct 15- to 30-minute discovery conversations with prospective families to gather information about the student, athletics, grade level, and educational goals.
  • Provide accurate information about the academic model, athletic schedule, coaching staff, tuition structure, and TEFA funding eligibility.
  • Qualify prospective families against established criteria and hand off qualified leads to the sales team with complete documentation.
  • Conduct follow-up outreach to prospective families who have not responded to prior communications.
  • Maintain accurate records of all parent interactions in HubSpot and other CRM tools.
  • Provide regular reporting to leadership on recurring questions, common objections, and engagement trends.
  • Support the sales team by serving as the front-line contact for families and helping move qualified opportunities forward.

Requirements

  • Minimum of 1 year of professional experience in a customer-facing role such as admissions, customer success, sales development, recruitment, or educational administration.
  • Demonstrated ability to communicate effectively by phone, email, and text with a diverse range of stakeholders.
  • Proficiency in CRM software and standard office productivity tools.
  • Strong organizational skills and attention to detail, especially for data entry and documentation.
  • Ability to manage multiple concurrent conversations and prioritize inquiries by urgency and qualification status.
  • Comfort using AI tools such as ChatGPT, Claude, and Perplexity as part of the daily workflow for communications, outreach, summarization, analysis, and follow-up automation.
  • Personal experience as an athlete, coach, or in a sports-related role, with understanding of the youth athletics landscape and families it serves.
  • Previous experience as an SDR, BDR, or admissions counselor supporting a sales or enrollment team is preferred.
  • Experience maintaining accurate and detailed records in HubSpot is preferred.
  • Bilingual proficiency in English and Spanish is preferred.
