Description

  • Act as the first operational filter for requests, opportunities, decisions, and interruptions before they reach the CEO.
  • Determine what requires CEO involvement, what can be delegated, postponed, or declined, and protect executive focus.
  • Convert new initiatives and strategic priorities into documented execution plans with objectives, outcomes, ownership, timelines, milestones, and success metrics.
  • Maintain visibility on active projects from launch through completion and proactively follow up when deadlines slip or momentum stalls.
  • Prepare briefing documents, gather background context, identify risks and unresolved decisions, and recommend actions for leadership meetings.
  • Capture decisions, commitments, ownership, and action items during meetings and track follow-through after meetings.
  • Maintain a single source of truth for active initiatives, including deliverables, deadlines, risks, escalations, bottlenecks, and ownership.
  • Provide weekly executive reporting on progress, risks, missed commitments, and decisions requiring executive input.
  • Draft and manage leadership updates, internal communications, meeting summaries, follow-up messages, and strategic announcements.
  • Maintain a CEO decision log to document key decisions, reasoning, ownership, and execution status.
  • Identify ownership gaps, conflicting priorities, overcommitted teams, and misaligned strategic direction, then escalate with recommended solutions.

Requirements

  • 5+ years supporting founders, CEOs, executives, or business owners.
  • Strong project management experience across multiple concurrent initiatives.
  • Experience coordinating work across multiple departments.
  • Exceptional written English.
  • Experience creating executive reports and operational updates.
  • Experience documenting processes, systems, and workflows.
  • Strong organizational and systems thinking.
  • Ability to manage competing priorities without constant supervision.
  • Comfort making decisions with incomplete information.
  • Comfort following up repeatedly when accountability is weak.
  • Comfort challenging assumptions respectfully.
  • Experience in founder-driven environments with frequent changes.
  • Ability to operate independently for extended periods without detailed direction.
  • Familiarity with executive reporting systems.
  • Familiarity with project management platforms.
  • Familiarity with documentation systems and workflow/process documentation tools.
  • Familiarity with calendar management systems and email management systems.
  • Prior execution ownership experience beyond traditional administrative support.
