Description

  • Own shared inboxes as the first operational responder across buyers, vendors, and internal teams, and resolve messages within the same business day.
  • Monitor active orders from confirmation through delivery and catch mismatches in quantity, timing, substitutions, pricing, or invoicing before they affect fulfillment.
  • Act as the operational bridge between buyers and vendors when fulfillment issues arise and resolve breakdowns directly before escalation.
  • Own real-time execution of food supply chain events, including run-of-show coordination, materials, timelines, vendor readiness, and stakeholder alignment.
  • Manage buyer and vendor onboarding from initiation through full activation, including documentation, compliance, system access, and communication setup.
  • Maintain and update operational workflows, dependencies, ownership, and deadlines across internal teams and external partners.
  • Deliver daily operational summaries covering unresolved issues, escalations, risks, bottlenecks, and items carried forward.
  • Identify early warning signals, act quickly to prevent silent failures, and escalate only after attempting resolution with full context.
  • Ensure tools and systems such as Airtable, Slack, CRM, and Google Workspace reflect real operational status.
  • Track recurring breakdowns in fulfillment, onboarding, and communication, and improve processes while actively using them.

Requirements

  • Proven experience in operations, customer service management, supply chain coordination, or project execution roles.
  • Ability to manage multiple stakeholders, including buyers, vendors, and internal teams, without losing control of details.
  • Strong English communication with precise tone control under pressure.
  • Demonstrated ability to resolve operational issues independently before escalating.
  • High attention to detail in order tracking, documentation, and system updates.
  • Comfort working in fast-changing, partially undefined operational environments.
  • Strong bias toward action and willingness to make decisions in real time.
  • Ability to stay calm and structured in high-pressure execution scenarios.
  • Must be comfortable communicating on video calls.
  • Candidates who require step-by-step instructions or avoid ownership of breakdowns will not be successful.
  • Philippines-based virtual professionals are preferred.
  • US-aligned working hours are required.
  • Strong internet connection, communication setup, and multitasking capability are required.
  • Experience with Google Workspace, Slack, Airtable, and CRM or internal systems is needed.
