Description

  • Identify and vet qualified tutors through database searches, email outreach, and incoming responses.
  • Match tutors to student needs while enforcing travel radius, availability, pay-rate, and policy requirements.
  • Contact tutors by phone and email using vetting scripts and collect required attestation statements.
  • Support tutor onboarding and follow up to ensure tutors are ready before being assigned to families.
  • Serve as the communication bridge between tutors, families, and internal case managers to propose matches and confirm program starts.
  • Coordinate with cross-functional partners, including translation specialists, to support accessible service introductions.
  • Maintain accurate records across Oases, Close CRM, and internal tracking sheets.
  • Track student opportunities through pipeline stages and manage account linking, permissions, and authorized tutoring hours.
  • Audit and attach Learning Plans and Progress Reports to family onboarding confirmations.
  • Set up recurring tutoring calendars, manage multi-session timelines, and monitor tutor check-in compliance.
  • Handle reassignments, substitute coverage, extra assistance requests, resignation documentation, and abandonment/ghosting protocols.

Requirements

  • Bachelor's degree required.
  • 2–4 years of progressively responsible experience in operations coordination, scheduling, logistics, project coordination, education operations, customer success, or administrative operations.
  • Proficiency in Microsoft Excel and Google Sheets.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal English communication skills with professional client-facing experience.
  • Demonstrated ability to maintain a high level of accuracy while working under deadlines.
  • Comfortable making independent decisions within established processes.
  • Proven ability to work effectively in a fully remote environment.
  • Ability to work consistently during overnight shifts, including evening through early morning hours.
  • Must have or be willing to obtain a dual-monitor workstation for efficient multitasking.
