Description

  • Support the efficient and timely execution of client projects by coordinating administrative tasks with account teams, clients, associates, and suppliers.
  • Assist in planning and executing client meetings, including travel, logistics, and coordination with hotels and restaurants.
  • Track project timelines and update schedules in coordination with account teams and clients.
  • Develop and issue statements of work (SOWs) accurately and on time.
  • Enter materials and references into Veeva Promomats and Spectra, and manage approval and amendment workflows with scientific and account teams.
  • Order scientific references, images, and project materials such as tent cards, badges, directional signage, and agendas.
  • Arrange worldwide travel, accommodation, car hire, catering, and venue logistics for employees, internal meetings, annual events, and visiting clients.
  • Format and quality-check documents in Word, Excel, and PowerPoint, and maintain secure filing and archiving practices.
  • Research, sandbox test, and help implement new software, while supporting company websites, social media content, and digital materials.
  • Support the Finance team with purchase orders, diary management for Finance calls, and financial administration in SAGE and CMAP.

Requirements

  • Experience supporting project coordination and administrative activities in a fast-paced environment.
  • Strong multitasking, analytical, and problem-solving abilities.
  • Proactive approach with an appetite for learning new skills.
  • Confidence liaising with account teams, clients, suppliers, and internal stakeholders.
  • Ability to format and quality-check documents in Word, Excel, and PowerPoint.
  • Familiarity with approval systems such as Veeva Promomats and Spectra (preferred).
  • Experience with financial administration tools such as SAGE and CMAP (preferred).
  • Willingness to learn and follow company processes, procedures, systems, and office practices.
  • Ability to travel within Europe and internationally as required.
  • Commitment to legal, health and safety, information security, and business ethics standards.
