Description

  • Manage calendars, meetings, and scheduling across time zones.
  • Coordinate calls and daily planning to keep the client organized and on track.
  • Draft and send professional emails, documents, and other communications.
  • Prepare meeting notes and track follow-ups to completion.
  • Update and maintain records in HubSpot, Salesforce, or Zoho CRM.
  • Manage spreadsheets, operational trackers, and digital files across Google Drive, Dropbox, and SharePoint.
  • Conduct online research on competitors, vendors, and market insights, then turn findings into summaries or presentations.
  • Support customer and vendor coordination by responding to basic inquiries, tracking outstanding items, and ensuring timely follow-ups.
  • Assist with invoicing, expense tracking, and light bookkeeping if needed.
  • Update project management tools such as Trello, Asana, Notion, or Monday.com and provide end-of-day updates.

Requirements

  • 1–2 years of experience as a Virtual Assistant, Administrative Assistant, or Operations Support professional.
  • Proficiency in Microsoft Office and Google Workspace, including Docs, Sheets, Gmail, and Calendar.
  • Strong time management and multitasking ability.
  • Reliable internet connection and a remote work setup.
  • Highly organized, detail-oriented, and able to manage multiple tasks without missing deadlines.
  • Clear, professional communication skills.
  • Proactive, responsive, and accountable work style.
  • CRM experience with HubSpot, Salesforce, or Zoho CRM is preferred.
  • Familiarity with QuickBooks or Xero is preferred.
  • Experience supporting founders, startups, remote teams, or multiple clients/executives is preferred.
