Description

  • Join meetings, take notes, and track follow-up actions.
  • Manage calendars and coordinate team and client meetings across schedules and time zones.
  • Prepare and customize client and business development presentations and decks.
  • Conduct targeted research to support projects and client needs.
  • Maintain contact lists, trackers, databases, and status updates.
  • Handle administrative tasks such as signatures, NDAs, invoices, and coordination with accounting.
  • Assist with proposal development, including graphics, drafting, and formatting.
  • Provide ad hoc support and special project assistance as needed.

Requirements

  • Minimum of 4 years of professional experience.
  • Minimum of 2 years of experience in a professional remote work environment.
  • Strong organizational, research, and administrative skills.
  • Experience managing calendars and scheduling across multiple time zones.
  • Familiarity with Google Workspace tools, including Docs, Sheets, Slides, Drive, Gmail, and Calendar.
  • Proficiency with Microsoft Office Suite and virtual meeting platforms such as Zoom and Teams.
  • High emotional intelligence, maturity, and demonstrated business acumen.
  • Excellent written and verbal communication skills in English.
  • Comfort asking supervisors for clarity, deadlines, and priority-setting when needed.
  • Preferred experience supporting consulting, professional services, or international development organizations.
  • Preferred experience with WordPress and/or Monday.com.
  • Preferred graphic design skills using PowerPoint, Canva, or similar tools.
  • Preferred experience with CRM systems, project management tools, or databases.
  • Primary internet connection with a minimum speed of 15 Mbps and a backup connection of at least 10 Mbps capable of supporting work during a power outage.
  • Primary desktop or laptop with Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or equivalent, and at least 8 GB RAM.
  • Backup device that meets or exceeds the performance of an Intel Core i3 processor and is functional during power interruptions.
  • A functioning webcam, noise-canceling USB headset, quiet dedicated home office space, and smartphone for communication and verification purposes.
