Description

  • Manage inbound client inquiries, prioritize urgent requests, and maintain professional follow-up communication.
  • Draft and send client updates, summaries, and follow-ups to ensure a strong client experience.
  • Coordinate with freelance contractors and vendors on active projects and track deliverables, deadlines, and progress.
  • Maintain communication between contractors, clients, and leadership to keep work organized and on schedule.
  • Manage and update CRM records in GoHighLevel, including client records, pipelines, workflows, notes, and follow-ups.
  • Support onboarding workflows and operational setup processes while maintaining CRM hygiene and consistency.
  • Manage calendars, scheduling, and meeting coordination using Google Calendar, Gmail, and Google Workspace.
  • Prepare context, notes, and materials ahead of meetings or calls for leadership.
  • Conduct operational and market research, including vendor research, inventory checks, market comparisons, and data gathering.
  • Organize research findings into actionable summaries and reports to support decision-making.

Requirements

  • 2+ years of experience supporting founders, executives, operations teams, or small business owners.
  • Experience in executive assistance, operations coordination, administrative support, and client communication.
  • Strong hands-on experience with GoHighLevel (GHL).
  • Experience with Google Workspace, Gmail, Google Calendar, Google Drive, and Google Docs.
  • Experience managing CRM workflows and operational tracking systems.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail and operational accuracy.
  • Ability to manage priorities independently without constant oversight.
  • Reliable remote work setup and stable internet connection.
  • Experience in automotive industry operations, client coordination, or service-based businesses is preferred.
  • Familiarity with Gamma, Google Slides, PowerPoint, Notebook LM, or other presentation and research tools is preferred.
  • Experience supporting founders in fast-paced businesses is preferred.
