Description

  • Maintain daily operational workflows across the business and support leadership with execution-heavy tasks.
  • Keep CRM records, operational data, and digital documentation clean, accurate, and organized across multiple systems.
  • Process invoices accurately and on time, track outstanding balances, and coordinate billing and accounts receivable follow-up.
  • Monitor crew schedules and job progress, identify conflicts or time discrepancies, and support accurate time tracking.
  • Manage inbound client inquiries, follow-ups, and routine operational communication to ensure timely responses.
  • Prepare reports, proposals, and RFP responses, and conduct vendor, pricing, contract, and operational research.
  • Support executive email communication, Microsoft Teams workflows, and scheduling coordination.
  • Identify inefficiencies, process gaps, and operational inconsistencies proactively and escalate urgent issues as needed.

Requirements

  • Experience in operations coordination, administrative support, billing/invoicing, or scheduling/workflow coordination.
  • Strong proficiency in Microsoft Excel, Outlook, Word, Teams, and OneDrive.
  • CRM experience is required; Aspire experience is a plus.
  • Strong written communication skills and the ability to maintain high operational accuracy.
  • Comfort working independently in a remote environment during U.S. business hours (EST required).
  • Experience with Aspire or Azuga is preferred.
  • Background in construction, landscaping, field service, or other operations-heavy environments is preferred.
  • Experience with payroll coordination, job costing, or accounts receivable follow-ups is preferred.
  • Extremely detail-oriented, organized, proactive, and able to manage multiple workflows simultaneously.
  • Calm, accountable, and reliable with strong follow-through in a structured, systems-driven environment.
