Description

  • Serve as the first point of contact for tenant inquiries about rent, lease terms, and property policies.
  • Document tenant communications and activity in property management software such as AppFolio, Yardi, or Buildium.
  • Draft, process, and track lease agreements, amendments, renewals, and related documentation using tools like DocuSign or Dotloop.
  • Support property marketing by posting listings, pre-screening tenants, scheduling showings, and collecting applications.
  • Track rent payments, apply late fees, follow up on delinquencies, and help prepare delinquency reports and owner statements.
  • Record and reconcile deposits, refunds, and security deposits.
  • Create, manage, and update maintenance work orders, schedule vendors, and confirm completion with tenants.
  • Review invoices against completed work and route them for approval.
  • Maintain complete tenant files, notices, inspections, and compliance documents in an audit-ready format.
  • Support portfolio reporting, occupancy tracking, turnover metrics, leasing performance, and other administrative projects.

Requirements

  • 2+ years of experience in property management or real estate operations.
  • Proficiency with property management software such as Yardi, AppFolio, or Buildium.
  • Strong Microsoft Office and Google Workspace skills.
  • Familiarity with lease agreements, tenant laws, and Fair Housing regulations.
  • Ability to work full-time remotely during U.S. client business hours, with flexibility for tenant schedules, leasing deadlines, and emergencies.
  • Strong communication skills with tenants, vendors, and owners.
  • Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
  • Problem-solving approach that balances tenant empathy with business goals.
  • Preferred: Experience supporting 100+ unit portfolios.
  • Preferred: Knowledge of multi-state landlord-tenant law, property accounting, and financial reporting.
  • Preferred: Experience in residential, commercial, or mixed-use real estate.
