Description

  • Coordinate and schedule candidate interviews, panel sessions, and debriefs across multiple time zones.
  • Manage job posting creation, review, and distribution across approved job boards and networks.
  • Route requisitions through internal approval workflows and maintain process timelines.
  • Prepare, distribute, and track offer letters and background checks.
  • Guide candidates through the pre-onboarding process and coordinate with People team partners on IT, payroll, and communications setup.
  • Facilitate Form I-9 completion and review employment eligibility documents as an authorized employer representative.
  • Administer Greenhouse Recruiting user access, permissions, and system standards.
  • Maintain accurate candidate and job data in the ATS and generate recurring recruitment reports and metrics.
  • Train and support hiring managers and internal teams on Greenhouse processes, workflows, and troubleshooting.
  • Protect candidate and employee confidentiality while following federal, state, and local employment regulations.

Requirements

  • 3+ years of talent acquisition coordination experience, including internships, administrative fellowships, or student leadership roles.
  • Experience coordinating logistics, planning multi-step processes, and managing calendars.
  • Experience maintaining confidentiality and using strong professional discretion with sensitive personnel data.
  • Exceptional written and verbal communication skills with experience building collaborative relationships across diverse teams.
  • Strong digital literacy and the ability to learn new systems, databases, and collaboration software quickly.
  • Bachelor’s degree or equivalent practical experience.
  • Exposure to or prior use of Greenhouse Recruiting or an equivalent enterprise ATS, HR database, or CRM platform (preferred).
  • Prior experience drafting visual guides, process workflows, or basic technical tutorials for system users (preferred).
  • Familiarity with basic database reporting and exporting metrics to support decision-making (preferred).
  • Meticulous attention to detail and the ability to execute sequential, high-priority workflows with speed and accuracy.
