Description

  • Manage multiple overlapping AV production projects, including scope, timelines, budgets, and deliverables.
  • Serve as the primary client contact and Meeting Tomorrow representative throughout event execution.
  • Coordinate information flow among clients, venues, vendors, fulfillment, creative, and other internal teams.
  • Set deadlines, follow up on action items, and keep stakeholders aligned through project completion.
  • Advise clients on audiovisual production best practices for in-person and hybrid events.
  • Identify planning gaps, recommend solutions, and manage changing priorities and unforeseen challenges.
  • Prepare onsite staff and oversee event execution while traveling approximately 10–15%.
  • Build strong client relationships and support retention and repeat business.
  • Develop efficient processes, contingency plans, and team improvements.
  • Use Netsuite, Backstage, CRM, and project-planning tools to manage client accounts and projects.

Requirements

  • 4+ years of event experience, preferably in an agency or high-touch client environment.
  • Experience managing high-volume work, multitasking, and meeting deadlines.
  • Strong written and verbal communication skills, including confident expectation-setting and follow-through.
  • Ability to build relationships with clients and stakeholders across different personalities and professional levels.
  • Interest in learning audiovisual production and creative service logistics.
  • Adaptability and sound decision-making in ambiguous, unpredictable situations.
  • Strong attention to detail, organization, problem-solving, and contingency-planning skills.
  • Ability to travel onsite approximately 10–15%, or 2–3 days per month.
