Description

Create, audit, and send invoices in QuickBooks.
Perform monthly invoice reconciliation between QuickBooks and HubSpot.
Identify and resolve billing and reconciliation discrepancies to maintain financial alignment.
Configure and maintain projects in Kantata with accurate financial data and project setup.
Review completed projects for budget adherence, compliance, finalization, and archiving.
Support month-end close processes related to project and billing operations.
Assess project requirements and support team and resource allocation for effective execution.
Maintain alignment between project delivery structures and billing workflows.
Identify opportunities to improve billing, reporting, and project management workflows.
Collaborate with Finance, Operations, Project Management, and Delivery teams to ensure smooth execution.

Requirements

Strong hands-on experience with QuickBooks, including invoicing and reconciliation.
Experience supporting billing, revenue operations, or financial workflows.
Proven ability to manage high-volume, deadline-driven work.
High attention to detail when working with financial data.
Experience with Kantata or similar PSA tools (preferred).
Familiarity with HubSpot CRM (preferred).
Background in service-based or project-based businesses (preferred).
Exposure to month-end close processes (preferred).
Experience working in remote, cross-functional environments (preferred).
Ability to learn and use new systems and tools effectively.
Experience with process optimization, automation, or advanced reporting (nice to have).
Deep system expertise across QuickBooks, HubSpot, and Kantata (nice to have).
