Description

  • Manage and optimize the Co-Founder’s calendar, including priorities, meetings, and deadlines.
  • Serve as a trusted point of contact for internal teams and external stakeholders.
  • Track tasks and deliverables to ensure deadlines are met and nothing is overlooked.
  • Prepare, review, and manage critical documents such as agreements, reports, and internal communications.
  • Streamline operations by gathering, organizing, and presenting information to support decision-making.
  • Coordinate meetings, appointments, confirmations, and schedule updates without delays.
  • Handle sensitive information with confidentiality and professionalism.
  • Support additional initiatives such as social media management, team coordination, and ad hoc projects.
  • Maintain clear, professional, and timely communication across stakeholders.

Requirements

  • 5+ years of experience as an Executive Assistant or in a similar role is required.
  • Proven experience supporting C-level executives such as a CEO or Founder.
  • Strong experience in calendar management, client communication, and document preparation.
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail and follow-through.
  • Ability to multitask, prioritize, and adapt in fast-paced environments.
  • Proficiency in Google Workspace.
  • Ability to quickly learn new tools.
  • Minimum primary internet speed of 15 Mbps, with a backup connection of at least 10 Mbps capable of supporting work during a power outage.
  • Desktop or laptop with at least an Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or equivalent processor and a minimum of 8 GB RAM.
  • Backup device that meets or exceeds the performance of an Intel Core i3 processor and functions during power interruptions.
  • A functioning webcam, a noise-canceling USB headset, a quiet dedicated home office space, and a smartphone for communication and verification purposes.
