Description

  • Oversee daily project and office operations to ensure smooth workflow.
  • Prepare correspondence, memos, reports, and other administrative documentation.
  • Manage procurement, inventory, travel logistics, contracts, invoices, and budgets.
  • Maintain a cash journal and coordinate reporting with accounting.
  • Schedule meetings, organize appointments, and support calendar coordination.
  • Update office and project policies and procedures.
  • Coordinate with IT and vendors for equipment and service needs.
  • Research and compile grant and proposal submissions for leadership review and approval.
  • Develop and maintain a social media plan and schedule approved content.
  • Support C-suite documentation, onboarding, employee queries, events, and general visitor/collaborator support.

Requirements

  • Proven experience as a Project Manager or Administrative Officer.
  • Knowledge of office systems, project coordination, and administrative best practices.
  • Proficiency in Microsoft Office and online scheduling/collaboration tools.
  • Excellent organizational and prioritization skills in fast-paced settings.
  • Strong written and verbal communication skills.
  • Detail-oriented with sound judgment and problem-solving ability.
  • Bachelor’s degree required.
  • Graduate qualification in Business, Project Management, or a related field preferred.
  • Primary internet connection with a minimum speed of 15 Mbps and a backup connection of at least 10 Mbps.
  • Desktop or laptop with at least an Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or equivalent processor and 8 GB RAM.
  • Backup device capable of meeting or exceeding an Intel Core i3 processor and functioning during power interruptions.
  • Functioning webcam, noise-canceling USB headset, smartphone, and a quiet dedicated home office space.
