Description

  • Source and recruit candidates for office staff roles through job boards, networks, referrals, and targeted outreach.
  • Post, maintain, and update job listings and candidate pipelines, and provide weekly recruiting updates to the HR Director.
  • Conduct initial phone screens and coordinate interviews with hiring managers and HR leadership.
  • Manage offer communications, pre-employment documentation, and hiring decisions in line with HR policy.
  • Execute onboarding from offer acceptance through the first week, including orientation and follow-up on outstanding items.
  • Verify pre-employment requirements such as credentials, I-9s, E-Verify, and signed offer materials before Day 1.
  • Coordinate with IT, operations, and department managers to ensure access, logins, and equipment are ready for new hires.
  • Administer the fingerprint clock-in system, including enrollment, troubleshooting, deactivation, and record maintenance.
  • Track credentials, probation periods, and employee milestones, and escalate issues to the HR Director as needed.
  • Process offboarding and terminations, including property collection, access removal, documentation, exit interviews, and benefits notices.
  • Maintain accurate HRIS records, personnel files, termination logs, birthday trackers, and onboarding/orientation materials.
  • Support audits, compliance reviews, open enrollment, policy updates, and other ad hoc HR projects.

Requirements

  • High school diploma or GED required; associate's or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • PHR or SHRM-CP certification is a plus.
  • Minimum 2 years of experience in an HR Generalist, HR Coordinator, or HR Administrator role required.
  • Prior experience in a healthcare or regulated industry strongly preferred.
  • Demonstrated experience with full-cycle recruiting and full employee lifecycle administration for professional staff.
  • Experience processing terminations, conducting offboarding, and managing separation documentation required.
  • Experience with HRIS platforms required; Zoho or a similar system is preferred.
  • Experience with E-Verify, I-9 administration, and employment eligibility compliance is required.
  • Experience managing probationary period tracking and performance review timelines is preferred.
  • Familiarity with biometric timekeeping or fingerprint clock-in system administration is a plus.
  • Proficiency with Microsoft Office Suite, particularly PowerPoint, Excel, and Word.
  • Strong organizational skills, attention to detail, and ability to manage multiple workflows and compliance deadlines.
  • Professional written and verbal communication skills and the ability to handle confidential information discreetly.
  • Ability to work independently, meet deadlines, and collaborate proactively with the HR Director and other stakeholders.
  • Minimum technical setup including a primary internet connection of 15 Mbps, a backup connection of at least 10 Mbps, a desktop or laptop meeting specified processor and 8 GB RAM requirements, a functional webcam, a noise-canceling USB headset, a quiet dedicated home office space, and a smartphone.
