Description

  • Manage complex C-suite calendars, prioritize high-value meetings, and ensure leadership is prepared for each engagement.
  • Serve as the primary gatekeeper for incoming calls and emails, triaging priorities and gathering information from stakeholders.
  • Handle executive-office administration, including document management, filing, signature coordination, and confidential recordkeeping.
  • Maintain strict confidentiality while supporting sensitive client and business matters with professionalism.
  • Communicate with clients about questions, updates, and other case-related matters.
  • Own the lifecycle of internal projects from planning through execution, tracking milestones and deadlines.
  • Drive team accountability by monitoring progress and ensuring projects and sales tasks are completed on time.
  • Identify and implement workflow improvements within Google Workspace and internal project management tools.
  • Conduct research to support internal operations and strategic initiatives, then present findings in organized, actionable formats.

Requirements

  • At least 3 years of experience as an Executive Assistant or Project Manager supporting teams or operational projects.
  • Strong time-management skills with the ability to organize, track, and drive multiple projects and sales tasks simultaneously.
  • Advanced proficiency in Google Workspace.
  • Ability to quickly learn CRM software, AI tools, and project management tools such as Asana, Monday, or ClickUp.
  • Strong adaptability and the ability to shift between administrative work and high-level problem-solving.
  • Exceptional verbal and written communication skills with the ability to adjust tone for different audiences.
  • Meticulous attention to detail, a process-oriented mindset, and proactive problem-solving ability.
  • Absolute discretion with sensitive business information and a commitment to punctual, consistent performance.
  • Primary internet connection of at least 15 Mbps, plus a backup connection of at least 10 Mbps that can function during a power outage.
  • Desktop or laptop meeting minimum specs: Intel Core i5 8th gen or newer, Intel Core i3 10th gen or newer, AMD Ryzen 5, or equivalent; at least 8 GB RAM.
  • Backup device that meets or exceeds an Intel Core i3 processor and can function during power interruptions.
  • Functioning webcam, noise-canceling USB headset, quiet dedicated home office space, and a smartphone for communication and verification.
