Description

  • Triage and manage the CEO’s email twice daily, drafting and editing messages in his voice and tone.
  • Organize and prioritize inbox items using structured folders and clear follow-up workflows.
  • Proofread and improve outgoing client and internal communications for clarity, accuracy, and professionalism.
  • Manage complex calendar scheduling, meeting logistics, and calendar protection for deep work and high-value meetings.
  • Act as a gatekeeper for the CEO’s schedule, including coordination around in-person office time in Seattle.
  • Maintain a clean, accurate CRM with complete contact details, correct formatting, and usable notes.
  • Track tasks, lead weekly check-ins, and ensure clear communication loops and follow-through.
  • Organize personal documents, insurance information, and secure digital files, including backups.
  • Document, build, and refine SOPs to turn recurring work into repeatable processes.
  • Use tools such as Slack, Notion, BuilderTrend, Monograph, Smartsheet, Gemini, Fathom, and Fireflies to support operations and documentation.

Requirements

  • 3+ years of experience supporting senior executives as an Executive Assistant, Operations Coordinator, or similar role.
  • Exceptional written communication skills, with the ability to draft stronger-written communications than the executive.
  • Proven ability to follow and replicate structured formats with strong attention to detail.
  • Strong organizational skills, execution ability, and consistent follow-through.
  • Comfortable acting as a “memory system” for a fast-moving CEO and anticipating needs.
  • Strong understanding of U.S. business culture and communication style.
  • Able to handle confidential and sensitive information responsibly.
  • Tech-comfortable and adaptable to evolving systems, tools, and SOPs.
  • Reliable high-speed internet and a modern home office setup are required.
  • Experience with systems like Notion, BuilderTrend, Monograph, Smartsheet, Gemini, Fathom, or Fireflies is a plus.
