Description

  • Manage complex CEO and CFO calendars, communications, travel, recurring routines, and confidential information.
  • Coordinate internal and external meetings with employees, customers, partners, investors, and other stakeholders.
  • Maintain the annual ELT meeting calendar and coordinate logistics for leadership meetings, events, and in-person gatherings.
  • Prepare agendas, pre-reads, materials, attendees, and context for executive and leadership meetings.
  • Capture and organize meeting notes, decisions, context, and action items using AI-enabled tools.
  • Track follow-ups, reminders, executive requests, and recurring leadership cadences.
  • Draft and refine executive emails, messages, agendas, summaries, and other communications.
  • Organize information and documentation so executives can quickly retrieve relevant context.
  • Build repeatable templates, workflows, and lightweight automations to reduce manual executive work.
  • Connect information across calendars, communications, documents, project systems, and other tools while applying sound judgment about confidentiality and accuracy.

Requirements

  • Experience supporting senior executives in a fast-moving organization.
  • Exceptional organization, attention to detail, reliability, and follow-through.
  • Excellent written and verbal communication skills.
  • Strong judgment, discretion, and confidentiality when handling sensitive information.
  • Ability to manage competing priorities, frequent changes, and complex coordination.
  • Proactive approach that anticipates executive needs and resolves issues independently.
  • Confidence communicating professionally with employees, customers, partners, investors, and senior leaders.
  • Ability to learn new technology quickly and become a power user of AI-enabled tools.
  • Comfort experimenting with AI capabilities, automation, and workflows without needing to code or build AI models.
  • Ability to understand how information should flow across multiple systems and adapt as the technology stack evolves.
  • Professional references may be requested during the hiring process.

Benefits

  • Annual salary range of $85,000–$100,000.
