Description

  • Greet clients at the welcome desk and serve as the first point of contact for the practice.
  • Provide warm client interactions, answer questions, and route information to the appropriate team members.
  • Manage client check-in and check-out and ensure required paperwork, consents, and insurance information are complete.
  • Orient new clients with waiting area tours and help them feel comfortable in the space.
  • Coordinate the client schedule, including real-time appointment booking and online scheduling requests.
  • Anticipate scheduling needs and identify schedule efficiencies based on provider and client needs.
  • Verify insurance benefits with carriers and support billing-related processes.
  • Collect copays and outstanding balances and help set up payment plans when needed.
  • Support front-of-house readiness by preparing the office for the day and keeping the space organized and stocked.
  • Manage phone triage and coordinate communication between team members as needed.

Requirements

  • Customer service and hospitality experience is strongly preferred, with medical field customer service experience highly preferred.
  • Bachelor's degree preferred, or a high school diploma/GED with 2+ years of experience in a related field.
  • Proficiency with Google Suite or Microsoft Office products.
  • Strong computer skills and familiarity with EMRs preferred.
  • Ability to organize and create structure in a fast-paced, dynamic environment.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize details without becoming overwhelmed.
  • Interest in growth, process improvement, and learning new tools, processes, and systems.
  • Ability to thrive in a highly collaborative, fast-paced environment.
