Description

  • Manage the founder’s inbox, including triage, filing, prioritisation, and draft replies.
  • Organise the founder’s calendar with time blocking, meeting coordination, and scheduling discipline.
  • Plan daily and weekly priorities, ensuring tasks, commitments, and follow-ups are captured and progressed.
  • Own open items from meetings and conversations and drive them through to completion.
  • Chase internal inputs needed to progress work and reduce fragmented, multi-step workflows.
  • Prepare documents, letters, and reports using business data and internal systems.
  • Coordinate recurring one-on-ones and leadership meetings, including agendas, templates, and discussion prompts.
  • Capture meeting minutes, outputs, and action items, and track ownership and progress.
  • Support administrative and operational work such as team coordination, client reporting, project assistance, and internal documentation.
  • Update website content in Squarespace, assist with LinkedIn post drafting and scheduling, and help prepare proposals and presentation materials.

Requirements

  • Proven experience as an Executive Assistant, Operations Coordinator, Senior Administrator, or in a similar role.
  • Strong inbox and calendar management capability.
  • Excellent written communication and document preparation skills.
  • Strong follow-up discipline and task management ability.
  • Experience working with senior leaders or founders.
  • High proficiency with Microsoft Outlook, SharePoint, Microsoft 365, Xero, and general business reporting/admin systems.
  • Excellent spoken and written English for regular verbal communication, voice notes, and real-time interaction.
  • Strong presentation formatting and templating skills for polished documents, reports, and slide decks.
  • Preferred experience with MyHR and/or property management systems such as OPM.
  • Preferred familiarity with Squarespace and LinkedIn, plus strong AI literacy using tools such as ChatGPT to improve workflows.

Benefits

  • Salary of PHP 75,000 - 100,000.
  • Full-time remote work arrangement.
  • Working hours aligned with AU hours.
