Description

  • Own the firm’s day-to-day operational performance and improve efficiency, accountability, and consistency.
  • Assess existing workflows, identify operational gaps and bottlenecks, and implement better systems and procedures.
  • Oversee firm systems such as PracticePanther and ensure consistent case tracking, reporting, and workflow execution.
  • Establish operational processes for accurate time tracking, case workflow management, and task accountability.
  • Lead implementation of new technologies, AI tools, and other operational improvements that support efficiency and client experience.
  • Evaluate the full intake-to-case-completion value chain and design workflows that reduce friction and improve productivity.
  • Maintain KPI dashboards and role-based performance metrics to enforce accountability across the team.
  • Ensure the firm delivers a strong client experience through proactive communication and responsiveness.
  • Oversee operational spending, evaluate vendors and service providers, and manage costs responsibly.
  • Build foundational systems such as onboarding programs, workflow documentation, task management structures, and reporting processes.

Requirements

  • 7+ years of experience in operations management, business operations leadership, or a similar role.
  • Experience in a law firm with at least 15 team members.
  • Experience with legal case management systems such as PracticePanther or similar.
  • Experience with intake tools such as Lead Docket or similar.
  • Demonstrated ability to assess complex operational challenges and drive measurable improvements.
  • Strong ownership mindset and ability to work proactively without constant oversight.
  • Strong financial awareness and ability to evaluate spending, vendors, and operational investments.
  • Comfort holding team members accountable and enforcing operational standards.
  • Ability to balance strategic thinking with hands-on tactical execution.
  • Clear, direct communication skills and a calm, logical, solutions-oriented approach.
